How to print by emailing the printer with HP ePrint

You are back from a business trip and want to have a printed document when you get to the office. Instead of sending the document to your colleagues in the office so that they can take care of it, there is an easier and faster way to be able to print from anywhere in the world. With HP ePrint, all you need is a device that can be connected to the network and has the ability to send emails with an attachment , be it a computer, smartphone or tablet (or any other smart device ). If you have bought a printer from the American company with HP ePrint technologyor you want to know how this interesting feature works, we will tell you how to enable the equipment and carry out the printing job in a few steps. 1. Activate HP ePrint

Once we have verified that our printer incorporates the HP ePrint function (you can see the complete list of compatible equipment on the HP website ), the first thing we should do is enable web services within the equipment. To do this, we go to the printer menu and look for the "Web Services" option . Although access varies slightly according to each printing equipment, it should allow us to activate the option in all of them. Once the web services are enabled, a page should print with information on the next steps to follow to configure remote printing via HP ePrint (as can be seen in the image).

2. Register the printer

The next thing we need to do is visit the ePrint Center page . From there, we click on "Sign in" and then on "Create an account". This step can be more tedious but it is enough to enter basic information such as name, email and password. We accept the terms of service and click on the "Create Account" button . We are already inside. At the moment, the web page from which we will manage the printer is only available in English, although it will probably be translated into Spanish in a few months. To register the printer, go to the "Devices" tab and then the "Add a device" button.In the small window that opens, they will ask us for a “Claim code”, which is the code that appears on the instructions page that the printer printed. The format of this code should mix lowercase letters with numbers. We introduce it in the box and we give it to add ( "Add" ).

3. Configure the printer's email account

If we have entered the code correctly, the page should notify us that it has successfully registered the equipment. At this time we will see a drawing of our model, its status and its access level (by default, open to anyone). To change the configuration, click on "Settings". As we can see, it is a fairly simple screen with three main options. To remove the printer ( "Remove printer" ), to change the type of access to users (which we will talk about in the next step) and to change the address of the printer. We click on "Change Email".Here we can write the address we want, always bearing in mind that a printer with that email address cannot already exist (for example, it is very likely that "[email protected]" is already taken). But here we can enter an address that is easy to remember and that we can identify with our company or business.

4. Configure access to the printer

As we said before, by default anyone who knows the address of the printer can send jobs to print. If we want to limit this access, we can go to the "ePrint Access" area and configure this access in two ways. On the one hand, we can leave the printer open to everyone but add exceptions through “Manage blocked senders” . On the other hand, we can choose to add permissions to each email address from which we want to allow documents to be sent through “Allowed Senders Only” and then “Manage Allowed Senders” . We write the email addresses in the box and you can send documents to print.

5. Print via HP ePrint

We have already configured the printer. Now what? Just send a document to the printer's email address and the printing will automatically take place. It's that easy, without the need to use any type of dedicated program or install drivers.

6. Aspects to consider

However, several aspects must be taken into account when using this technology. First, printing will generally take longer to start than direct printing. This is because the document goes through an HP print server before reaching the printer. If the printer is off, the document (s) will remain on the HP print server for 24 hours and will then be deleted. The moment the printer is turned on and has access to the network, printing will resume. The documents that can be attached in email are Word documents  , Excel pages  , PDF files  and texts TXTPowerPoint presentations and HTML web pages  . It also supports  BMP, GIF, JPEG, TIFF, and PNG type images. Another advantage of this printing technology is that we can send up to 10 files at the same time, although always respecting a maximum size limit of 10 MB. Finally, we must bear in mind that at the moment it is not possible to make double-sided printing with this technology, a limitation that will probably be corrected later. But ultimately, it is one of the most agile and useful ways to print files remotely anywhere.
